OMR Scanning & Processing

Used OMR sheets in. Verified, audit-trailed response data out. From ₹0.70 per sheet.

What we do

After the examination, our team comes to you. We set up our scanners in a room at your own premises, take the used sheets into our care there, and turn them into clean, verified response data you can use to publish results. The sheets never leave your building.

We are equipped for the scale Indian examinations require — capacity in the region of 1,00,00,000 (1 crore) OMR sheets a year — and a batch of a few thousand sheets is handled with the same care as a national-board run.

The deliverable is not a raw scan. It is a verified, audit-trailed response file — one record per candidate, with every flagged sheet manually verified, every double-mark resolved against the candidate's intent, and every result tied back to the original sheet for audit.

How it works

On-site setup and receipt. Our team arrives at your premises with the scanners. You hand over the sealed bundles in the room we are working in, and before any scanning begins we count them against your record. Any discrepancy is resolved before we proceed.

Pre-scan check. Every batch is inspected for sheets that would jam the scanner or read poorly — torn corners, water damage, wrong folds. These are set aside for manual handling rather than left to fail mid-run.

Scanning. Each scanner reads about 5,000 sheets an hour, so the fleet clears the job well within the deadline. Because the sheets are printed in drop-out pink, the scanner registers only the candidate's mark, not the printed circle around it.

Recognition and flagging. Every clear response is logged against the candidate's roll number. Anything unclear — a half-filled bubble, a double mark, a smudge, a misaligned sheet — is flagged for manual review. Nothing is silently scored or discarded.

Manual verification. A trained operator opens each flagged sheet on screen, alongside the software's reading, and resolves it against the marking scheme. Every decision is logged with the operator's ID and a timestamp.

Scoring. The verified responses are scored against your answer key — negative marking, sectional cut-offs, normalisation across shifts — all configured to your marking scheme, applied uniformly, and logged.

Full audit trail. Every scan, flag, decision and score is logged. Any of it can be retrieved by roll number or sheet serial number should a result be questioned.

The sheets stay with you. When scanning is complete, the original sheets are handed back to your officer in the same room. We leave with the verified data file and nothing else.

What we deliver

  • Verified response file — one row per candidate, every question answered or flagged, every score calculated against the answer key
  • Scored result file — section-wise + total, with any normalisation applied
  • Audit log — every flag, every manual decision, every score change, every operator action
  • Reconciliation report — sheet counts at every step (taken in, scanned, flagged, verified, scored, handed back)
  • Output formats — Excel, CSV, or SQL dump, as the conducting body's downstream result system requires
  • Optional: scorecard generation — if combined with our scorecard service, every candidate's individual scorecard is produced and dispatched

What sets the work apart

No answer is ever guessed. When a mark is unclear, the software's guess is not accepted and the mark is not dropped. An operator resolves it against the marking scheme, and the decision is logged. That care costs a few hours and prevents weeks of disputes later.

Audit trail as a deliverable. Every flag and every manual decision is logged with the operator's ID. The audit trail is issued to the conducting body as a standard report. If a candidate disputes a result months later, the trail lets the institution answer the question definitively — without depending on us.

Sheet and scanner, tuned together. When the sheets are ours too (printed through our OMR Scannable Grade service), the sheet and the scanner are set up to match each other, which keeps the misread rate low.

Every sheet is accounted for. Taken in → scanned → flagged → verified → scored → handed back. Every number reconciles, or the gap is identified. Never an approximate "we processed roughly N sheets."

Capacity for a surge. Our scanners can process 1 crore+ (1,00,00,000+) sheets a year, so a large backlog needing clearance at short notice, mid-cycle, is something we can absorb ourselves.

Pricing

OMR processing pricing starts at ₹0.70 per sheet for standard scoring, with tier breaks by volume:

  • Standard scoring (recognition + flagging + scoring + audit log)
  • Add-on: normalisation across shifts
  • Add-on: scorecard generation per candidate
  • Add-on: integration into the conducting body's downstream result system

Compressed timelines and specialised marking schemes price higher. Share a sample sheet and your volume, and we will come back with a firm per-sheet rate.

Trust signals

  • ISO 9001:2015 certified facility
  • CMMI Level 3 process maturity
  • DPIIT Startup India recognised
  • UPDESCO + UPTRON empanelled vendor
  • Capacity to process 1,00,00,000+ (1 crore) OMR sheets a year

FAQ

Q. Can you process OMR sheets we printed elsewhere? Yes, with a proof-test first. We scan a sample batch to confirm the sheets are within our scanner's recognition tolerances, and you see that result before any commercial conversation goes further. We regularly process sheets printed by other vendors.

Q. What's the misread rate? On sheets we printed ourselves it is very low, because the sheet and the scanner are calibrated to each other. On sheets printed by other vendors it depends on the print quality of the sheet; we measure it on your actual sheets during the proof-test and report it to you transparently before any commercial commitment.

Q. What happens to ambiguous responses? Every ambiguous sheet — partial fill, double mark, smudge — is flagged and manually verified by a trained operator. The operator's decision is logged with their ID. No ambiguous response is silently scored or silently discarded.

Q. How fast can you turn around results? Standard turnaround: 7–10 working days for a 1 lakh sheet batch from receipt to verified scored file. Compressed turnaround is possible (down to 48 hours for emergency volumes) at a higher rate, with the manual-verification step on flagged sheets kept intact regardless of the clock.

Q. What's the smallest batch you'll process? Around 2,000 sheets. Below that the per-sheet setup overhead makes us uneconomic; a local OMR vendor or in-house scanner is more appropriate.

Q. Can the audit log be exported for our external auditor? Yes. The audit log exports in a standard format, and the conducting body can hand it directly to its own external auditors.
